2. BADGES/HOTEL & TRAVEL INFORMATION

2.1 BADGES/ADMISSION TO THE METROPOLITAN PAVILION

CHILDREN UNDER 14 YEARS OF AGE WILL BE ABSOLUTELY PROHIBITED DURING THE SET-UP AND DISMANTLING OF THE SHOW. THERE WILL BE NO EXCEPTIONS TO THIS RULE.

Admission to the exhibit halls during the set-up or dismantling period is open only to exhibitor personnel with exhibitor badges or work passes. Exhibitor badges are available to personnel who will be setting up, dismantling and working booths during open hours of the Show. Work passes are only for personnel setting up and dismantling booths. This system is designed for security reasons. Exhibitors should go to www.glmshows.com/center and login with their username and password found in the upper left hand corner of their contract. Once logged in, select the link Exhibitor Badge Request and enter the names of your personnel needing badges. You can also contact Customer Relations at 914 421-3200 x7777 for assistance or you may register onsite. All badges will be available for pick up at Exhibitor Registration located on the first level of the Metropolitan Pavilion beginning at 8:00 AM on Saturday, August 16. Exhibitors may enter through the front entrance of the Metropolitan Pavilion on 125 West 18th Street, between 6th and 7th Avenues.

2.2 HOTEL AND TRAVEL INFORMATION

Travel Planners Inc., is the official Show travel coordinator. Exhibitors can call or fax Travel Planners at (800) 221-3531, fax (212) 779-6128 or visit www.nyigf.com. Reservations will be confirmed by fax within 24 hours of your request. Exclusive discounted hotel and airline rates are also available for New York’s Newest exhibitors. Exhibitors in the United States should contact Travel Planners at (800) 221-3531 (in New York (212) 532-1660). Hotel rates and a map indicating the locations of the hotels and airfare information are listed on Travel Planners Exhibitor Housing Information Form. Please fill out and return by July 18, 2008. Exhibitors outside the United States should contact their nearest representative for details of special packages on air travel and accommodations.

 

3. GENERAL INFORMATION

3.1 LOCATION

The Metropolitan Pavilion is located at 125 West 18th Street, New York, NY 10011, between 6th and 7th Avenues. NYIGF® - New York’s Newest will be located on the first, fourth and fifth floors at the Metropolitan Pavilion.

Please call (914) 421-3329 if you require special accessibility or arrangements during the Shows.

3.2 EXHIBIT HOURS

All exhibits must be open and ready for business by the official open hour each day and remain fully staffed until closing time. Exhibitors will be admitted starting at 8:00 AM each day and may stay until one-half hour after the Show closes each evening. The Show will open at 9:00 AM on Sunday, August 17.

The Show hours are:

Neither setting up nor unpacking will be permitted after 5:00 PM on Saturday night to allow for the removal of all cases and crates to storage and for the cleaning of the hall.

3.3 GENERAL RULES

The first rule of exhibit display is consideration of other exhibitors. The distribution of gadgets, portfolios or favors, or the use of flashing lights, smoke machines, bubble machines, megaphones, loud speakers, side-show tactics or other noisy or undignified displays is prohibited. Exhibitors should make special note that helium balloons (except for exhibitor product), glitter, confetti, live animals, and stick-on decals or other adhesive items are expressly prohibited within the Metropolitan Pavilion. Demonstrators must be properly clothed at all times and must confine their activities to their exhibit space. Plans for raffles, prize drawings or promotional contests of any kind requiring visitors to register in a booth and/or be present in a booth at a specified time must be submitted to Show Management for prior approval. Given the reasons for exhibiting at the Show, outside activities during Show hours that would draw attendance from the exhibit building are prohibited.

Under no circumstances should exhibitors enter any other exhibitor’s display uninvited or when it is unattended. Taking photographs of another exhibitor’s booth without permission from the exhibitor is strictly prohibited.

Exhibitors may not prepare or distribute food or beverages at the Show without Show Management's prior approval. All permitted food or beverage service must take place within the exhibitor’s booth and must not be disruptive to the Show in any fashion. Exhibitors are responsible for all cleaning required as a result of these activities.

No display may be arranged so that an exhibitor must stand in the aisle in front of the booth to conduct business. Moreover, no merchandise, chairs, tables, desks, lights, signs or other exhibitor items may extend into the aisle.

In order to preserve the wholesale character of the Show, cash sales requiring the delivery of merchandise at the Show are prohibited. We believe this rule will create a better business atmosphere for all.

Exhibitors will not be permitted to behave in a manner which, in the sole discretion of Show Management, is objectionable. Exhibitors are also obliged to comply with any additional rules established by Show Management. If exhibitors have any questions concerning their exhibit, any conduct or activity, please contact Show Management for advice and approval in advance of the Show.

Exhibitors should note that a portion of their exhibit fee may be attributable to meal and entertainment expenses. Exhibitors should consult their tax advisors for information regarding the deductibility of these expenses. Please contact our accounting office if you or your advisors have any questions regarding limitation amounts.

Luggage carts or any other wheeled cases are not permitted on the Show floor during Show hours.

3.4 CHILDREN POLICY

Children under 14 years of age will be absolutely prohibited during the set-up and dismantling of the Show. There will be no exceptions to this rule.

3.5 MANAGEMENT OFFICE

GLM will maintain a fully staffed Show Office during set-up, Show days and move-out, accessible to all exhibitors.

3.6 SHUTTLE BUS SERVICES

Complimentary shuttle service will be provided by George Little Management throughout Show days, connecting the Metropolitan Pavilion to the New York International Gift Fair at the Javits Center and the Passenger Ship Terminal Piers. Please keep in mind that this information is subject to change.

Servicing: Holiday Inn Midtown 57th, Sheraton New York, Sheraton Manhattan and Marriott Marquis, every 30 minutes between 8am and 11am. The complete schedule will be available in the hotel lobbies.

 

4. BOOTH SET-UP

4.1 SET-UP INSTRUCTIONS & HOURS

CHILDREN UNDER 14 YEARS OF AGE WILL BE ABSOLUTELY PROHIBITED DURING SET-UP AND THE DISMANTLING OF THE SHOW. THERE WILL BE NO EXCEPTIONS TO THIS RULE.

Set-up will be one day only. If you foresee any issues in completing your set-up within the time frame set below, please contact us.

It is strongly recommended that all exhibitors ship their exhibit materials in advance to the Metropolitan Exposition Services warehouse. There is no charge to ship to the warehouse and will ease the move-in process by assuring your freight will be delivered to your booth before your scheduled move-in time.

4.2 BOOTH DESCRIPTION

Metropolitan Exposition can provide lighting tracks with halogen fixtures on a rental basis (electrical power not included in the rental price). Please call Metropolitan Exposition at (201) 994-1300 for details and a price quotation.

If you wish to customize the interior of the booth space, a custom hardwall package is available from Metropolitan Exposition. Refer to the Custom Hardwall Package Form or call (201) 994-1300 directly to discuss further alternative booth package options.

4.3 BOOTH SIGN

Each booth is supplied one sign with the company name as it appears on the Directory listing.

4.4 HEIGHT LIMITATIONS FOR DISPLAYS

Exhibitors may not place fixtures, signs or merchandise above the 8' height of back or side walls. Exhibitors who wish to have an enclosed ceiling or even partial coverage of their booth, must submit a detailed request 30 days in advance to the Operations Department.

4.5 CARPETING/FURNISHINGS/ACCESSORIES

Metropolitan Pavilion has beautiful wood flooring. If you wish to have carpeting in your booth, it may be rented from Metropolitan Exposition. For carpet orders see Standard & Custom Cut Carpet Form. 4.6 FIRE DEPARTMENT AND SAFETY REGULATIONS

In compliance with the New York City law, there is NO SMOKING allowed in any area of the Metropolitan Pavilion. All display materials used in the Metropolitan Pavilion must be flame retardant and conform to New York City Fire Department regulations. No combustible decorations shall be used at any time.

All fabrics, foam core and decorations used in booths must be flameproofed with a compound approved by the New York Board of Standards and Appeals. An affidavit must be kept available in the display for inspection by the New York City Fire Department, stating clearly (i) by whom and when such flameproofing was done; (ii) the exact materials flameproofed and the flameproofing compound used; and (iii) the approximate period of effectiveness of such flameproofing. Refer to Flameproofing section. Exhibitors should be aware that a flame test may be performed by the New York Fire Department at an inspector’s discretion.

Cut flowers, living trees, plants, shrubs and grasses are permitted, provided all such decorations are kept in moist earth or water and are maintained in a healthy condition. Decorative greens containing pitch are prohibited. Artificial flowers or floral decorations which are not, or cannot be, flameproofed to comply with New York Fire Department regulations must not be used. Exhibitors should also note that nothing may be hung from or affixed to any sprinkler heads or pipes. No tanks of liquefied petroleum gas or inflammable liquid, either empty or filled, may be brought into the Metropolitan Pavilion.

Flameproofing at Show site is very difficult, so make sure your material conforms to New York regulations before you arrive at Metropolitan Pavilion. You may test an item for flammability by holding a lighted match underneath it for a few seconds. The item may char, but cannot burst into flame, melt, or drip.

The use of packing crates or cartons as display pieces is permitted, provided they are flame retardant and conform to the New York City Fire Department criteria.

4.7 OPEN FLAMES

The use of an open flame at the Metropolitan Pavilion requires building approval and the obtaining of an Open Flame Permit by Show Management. Any exhibitor who intends to have an open flame in their booth for any purpose must complete Open Flame Permit Request Form and submit it to the Operations Department at George Little Management by July 17, 2008 at which time you will be advised of the specific criteria. The use of incense is prohibited. An exhibit that is included on the Open Flame Permit must have a fire extinguisher in the booth. Failure to comply with any of the above will result in denial of the use of an open flame.

IMPORTANT: Be sure that this information is placed in the hands of all persons who will be setting up your exhibit, your factory shipping departments and all lines you represent.

4.8 FLAMEPROOFING

This information is vital to everyone participating in the Show. Your cooperation and that of your representatives is strongly urged.

Packing Materials
Avoid flammable packing materials. The cost of any of several suitable materials is not high and they last for several shows. Although we cannot predict how individual Fire Inspectors will rule on these matters, it is believed that wooden crates, corrugated cartons and fabric padding are acceptable. While not fireproof, they will not readily ignite from a carelessly thrown match or cigarette. Many exhibitors have found stair pads, felt, quilting or blanket rejects suitable for packing. Sources of this type of material should be listed in your local Yellow Pages under: Waste, Wool, etc. The use of packing crates or cartons as display pieces is permitted, provided they are flame retardant and conform to the New York City Fire Department criteria.

Display Materials
Use only FLAMEPROOFED fabrics for display and test them personally to make sure they will not burn. While a final determination rests with the fire prevention inspector, in most cases this does not apply to displaying your own product (please contact the Operations Department if you require further clarification). Flameproofing usually lasts from six months to a year after which the material must be reprocessed. The test usually used by a Fire Prevention Inspector is to hold a lighted match to several different portions of the fabric. The material may char, but cannot burst into flame, melt, or drip. All decorative greens containing pitch and straw are prohibited.

Flame retardant fabric and flame retardant spray or liquid is available from Rose Brand Textile Fabrics, (201) 809-1730 or (800) 223-1624; website: www.rosebrand.com ; in California you can contact Rose Brand LA, at (800) 360-5056; website: www.rosebrand.com. Flameproof display fabrics are also available at Dazian’s (201) 549-1000 or (877) 232-9426; website: www.dazian.com. These firms will supply the necessary affidavits on request.

Foam Core
Exhibitors wishing to use their own foam core must be sure that it is flame-retardant. The Fire Marshall will insist that any foam core not flameproofed be removed from the building.

4.9 LABOR

Qualified labor personnel are required to perform various services at the Metropolitan Pavilion. The following guidelines will help you in preparing your exhibit to conform to jurisdictions. Adherence to these regulations can save you substantial money.

IMPORTANT – PLEASE READ THE FOLLOWING:
Exhibit Building
Exhibit building labor is done by Journeyman Carpenters. They are responsible for uncrating and crating exhibits, building and dismantling all exhibits and booths, laying carpets and other floor covering, hanging non-electric signs, banners and drapes. Exposition workers deliver furniture and floor coverings and assist carpenters with construction and dismantling of exhibits and displays. The first two men required for this work must be carpenters and the third man hired, if necessary, must be an exposition worker. The following exceptions apply:

  • Exhibitors may install or dismantle their exhibit and lay carpet/floor covering as long as:
    • Booth size is 100 square feet (10’ x 10’) or less
    • The work described above can be reasonably accomplished in 1/2 hour or less
    • No tools are necessary in assembly, installation or dismantling;
    • Individuals performing the work must be employees of the exhibiting company and must carry identification to verify this fact.
  • Exhibitors may unpack, pack and arrange their merchandise in their exhibit.

Vehicle Unloading/Loading out
Unloading and loading out labor is performed by Teamsters. Exposition Workers deliver the exhibit freight to the booth spaces after the freight has been unloaded by the Teamsters. However, certain items may be brought into the Metropolitan Pavilion by exhibitors.

All items “hand carried” into the building must fit into the following categories:
  • An exhibitor may hand carry items or use nothing larger than a two-wheeled baggage cart (rubber or plastic wheels only) to move items
  • Exhibitors must use the doors and routes designated by show management.
  • The persons moving items must have identification showing that they are employees of the exhibiting company.

Please refer to the Shipping Information portion of this manual (Section 5) for additional and important details.

Electrical Work
Electricians handle all electrical work, which includes supplying power lines to your booth, connecting equipment to outlets and installing signs or banners that are lighted, unless they are permanently a part of the exhibit back wall.

NOTE: Exhibitors may not plug into existing service or service ordered by another exhibiting company. This dangerous practice is a fire hazard and will be monitored closely.

Planning Your Electrical Service
Here are some facts and tips to help you save energy when planning your electrical service:

  • All electrical equipment must be Underwriter Laboratories (UL) approved.
  • Electrical code violations are unsafe, time consuming and costly to correct.
  • For any questions you may have, refer to the phone numbers in Section 6.1
  • Wiring regulations based on the Electrical Code of the City of New York are as follows:
    • All electrical apparatus and splices must be installed in a metal enclosure to prevent emission of sparks.
    • All metal raceways, etc. lighting fixtures, metal housings of electrically powered equipment shall be grounded.
    • All extension cables shall be 3 wire SJ cord or other approved type and not more than 20 ft. long. One of the wires with green colored insulation is to be used as a ground. Cable must be large enough for the load and have grounded male plug.
    • Flexible cords and cables less than No. 14 gauge wire shall not be permitted.
    New York City Code requires that no electrical equipment or apparatus be connected unless it conforms to its electrical code. The Metropolitan Pavilion will supply an electrician to correct any minor infractions at exhibitor expense.
  • To place your order, simply complete the Electrical Form found in Section 6.1. Order forms must be received at least ten business days before the show.

Electrical Service and Fixture Options
Electric and lighting fixtures are available on a rental basis. Please refer to the Section 6.1 for information on additional power options and electrical accessories.

Should you require halogen lights or tracks, call Metropolitan Exposition at (210) 994-1300 or refer to the Standard Furnishings Form for details and a price quotation. If you require power, you must place an order using the Electrical Installation Forms.

Exhibitors should, under no circumstances, become involved in disputes regarding labor to be performed. Any such questions should be referred to the official service contractors, Metropolitan Exposition, the Metropolitan Pavilion, or Show Management. Exhibitors should be sure that all personnel working their booths are familiar with these union regulations.

The placing of labor orders with the official service contractor in advance will help assure that work can be done in the most economical fashion. Refer to Metropolitan Exposition’s Labor Order Form.

4.10 EXHIBITOR APPOINTED CONTRACTOR (EAC)

Exhibitors using approved independent labor contractors must complete and return to Show Management the Exhibitor Appointed Contractors Form, by July 17, 2008. Exhibitor Appointed Contractors must submit a “Certificate of Insurance” by July 17, 2008.

4.11 METHOD OF PAYMENT

Metropolitan Exposition Payment Policy

The balance in full is due upon presentation of the invoice at Show site. Invoices can be paid by cash, traveler’s check, company check, American Express, Master Card or VISA. See the Method of Payment Form for details. For 3rd Party Billing Requests, refer to3rd Party Billing Request Form.

Questions and Adjustments
Any discrepancy in items ordered and items received or any complaint or question concerning service, etc., must be reported immediately to the Metropolitan Exposition Services desk at Show site. Discrepancies will be resolved and/or any valid adjustments to your account will be made at that time and approved by the Metropolitan supervisor in charge. Absolutely no credits will be issued after show closing.

Metropolitan Pavilion Payment Policy
Please refer to the individual form for payment policy for services rendered. Orders must be placed at least 10 business days before the Show.

4.12 TIPPING

All employees of the Metropolitan Pavilion and the service contractors are adequately paid; therefore, there is no need to tip. Please report immediately to Show Management any discourtesies or attempts to imply that service will be expedited by tipping.

4.13 HELIUM BALLOONS/PRODUCTS

Helium balloons and products are not allowed in the Metropolitan Pavilion unless they are the specific product to be displayed for resale. To display these products, the exhibitor must contact the Operations Department at (914) 421-3344 by July 17, 2008.

4.14 INSURANCE

Insurance for exhibits and products is the responsibility of exhibitors. Exhibitors should consult their insurance broker to obtain an endorsement to their insurance policies to cover display materials and merchandise during transit to/from and at the Show site. Neither Show Management, the Metropolitan Pavilion, the contractors nor any of their officers, agents or employees assume any responsibility for the theft, loss or damage for any of exhibitor’s property. Exhibitor and its contractor(s) must maintain Commercial General Liability Insurance. Policy limits should be $1,000,000 Each Occurrence, $2,000,000 General Aggregate, $2,000,000 Product Liability and $1,000,000 Personal & Advertising Injury. Exhibitor and its Contractor(s) shall also maintain Worker’s Compensation Insurance for employees participating in the Show. Exhibitors seeking liability and property insurance should refer to the Exhibitor Liability Insurance Application & Enrollment Form or go online to www.buttine.com and click the Online Applications/Exhibitor Liability.

4.15 SECURITY

Show Management will have perimeter guard service at the Metropolitan Pavilion throughout the set-up, Show days and dismantling periods of the Show. Exhibitors are reminded, however, that this event is an open booth Show and they are solely responsible for the security of their exhibits and merchandise. While Show Management will exercise reasonable care in safeguarding exhibitors' property, neither Show Management, the Metropolitan Pavilion, the contractors, nor any of their officers, agents or employees, assume any responsibility for such property. Exhibitors should take every precaution to protect exhibit materials. Here are a few suggestions:
  • Ship in locked trunks or crates.
  • If cartons are used, be sure they are securely taped or banded, and do not mark them with the name or type of articles inside.
  • Ship with a reputable trucker or forwarder.
  • Furnish the shipping company with an accurate bill of lading, including the weight of the shipment.
  • Do not leave the exhibit unattended during set-up, Show days, and the dismantling period.
  • Cover the display at the end of each set-up and open day of the Show. If merchandise is particularly valuable, consider private security.
  • Do not leave merchandise under tables or displays overnight.
  • Do not, under any circumstances, include merchandise in containers to be stored with empties.
  • At the close of the Show, pack as quickly as possible, and do not leave the exhibit space unattended.
  • Have an employee remain in the exhibit space until all merchandise is completely packed and sealed.

Exhibitors removing merchandise from the Show floor MUST wear their exhibitor badge. To assure maximum security for open exhibits and merchandise, after-hours work or entertainment will not be permitted in exhibit booths. All buyers and exhibitors must leave the building within one-half hour after the Show closes. If exhibitors feel their merchandise requires special protection, they may hire a private guard. For further information regarding this service, contact the GLM Operations Department at (914) 421-3344. An overnight storage room will be available at the Metropolitan Pavilion. 4.16 MUSIC IN BOOTHS

The performance or use of live or mechanically-produced music that is of such type as to come under the jurisdiction of any of the performing rights organizations, such as the American Society of Composers, Authors and Publishers, (collectively “Organizations”) is strictly prohibited, unless you can provide us written evidence either (a) that any required licensing fees have been previously paid to the appropriate Organizations to cover the period of the Show; (b) that you have express permission from the copyright owner to perform the music at the Show; or (c) that you, in fact, are the owner of the copyright. This may be accomplished by providing us with a copy of an agreement with the appropriate Organizations with respect to such licensing fees, a copy of an agreement with the copyright owner granting you permission to perform such music, or written representation that you are the copyright owner of the music to be used. You should note that express permission from the copyright owner relating to reproduction and/or distribution rights, does not include performance rights; hence the copyright authorization that you provide us must specifically reference performance rights. Moreover, U.S. copyright law contains no exemption allowing you to perform music at a tradeshow for purposes of promoting sales of that music. In any case, you must provide us the requested evidence by using the Request To Perform Music Form and returning it to GLM by July 17, 2008.

5. SHIPPING INFORMATION

5.1 INBOUND SHIPMENTS

Freight Arrival
Due to the logistical challenges associated with freight deliveries to the Metropolitan Pavilion, all freight deliveries (all boxed, packaged/securely wrapped and crated materials) should be delivered to the Metropolitan Exposition warehouse between July 14, 2008 and August 8, 2008. Please refer to the Show Information and Shipping Information pages in the Metropolitan Exposition portion of this set-up manual for additional information.

All exhibit displays and materials may be sent to the Metropolitan Exposition warehouse or the Metropolitan Pavilion via your own vehicle or the common carrier of your choice using the instructions set forth on Show Information that follows, and the Shipping Information pages in the Metropolitan Exposition portion of this set-up manual.

The freight handling charges (drayage) at the Metropolitan Exposition warehouse and the Metropolitan Pavilion are included in your exhibit fee (except small package services such as UPS and FedEx). This covers:

  1. Receiving freight at the Metropolitan Exposition warehouse and the Metropolitan Pavilion
  2. Delivery to your booth
  3. Storage and return of empty crates and cartons
  4. Reloading of outbound freight

For hand carried shipments, remember that exhibitor access terminates at 8:00 PM on the set-up day.
Freight received through the Metropolitan Exposition warehouse will be delivered to your booth before your scheduled move-in time.

LEVEL 4 & 5 EXHIBITORS
Due to logistical challenges associated with freight delivery to the 4th and 5th floors of the Metropolitan Pavilion, exhibitor crates that exceed 7’ high x 3’6” wide x 7’4” deep cannot be delivered directly to your booth. Oversize crates will need to be unpacked at the loading dock and the contents delivered separately. Unpacking will be the responsibility of the exhibitor and delivery will be handled by the Show Contractor. PLEASE PLAN ACCORDINGLY AND AVOID LARGE CRATES IF POSSIBLE.

ALL SHIPMENTS MUST BE SENT PREPAID!

1) Shipments to Metropolitan Exposition’s warehouse
From July 14, 2008 through August 8, 2008 you may ship to Metropolitan Exposition’s warehouse for storage and delivery to your booth. You will not incur warehouse charges. Shipments received after August 8, or any loose or improperly packaged material, will not be accepted at the warehouse (crated, boxed, and most palletized materials are acceptable). See the Show Information and the Shipping Information pages in the Metropolitan Exposition portion of this set-up manual for additional information. All shipments must be sent prepaid.

2) Shipments directly to the Metropolitan Pavilion*
You may ship with the carrier of your choice to make direct deliveries to the Metropolitan Pavilion on Saturday, August 16. Bills of lading should be marked “MUST ARRIVE FOR AUGUST 16 DELIVERY”. At the 4:00 cut off time, any trucks checked-in will be unloaded that day. Please note that we will not check in any freight arrivals after 4:00 PM. All shipments must be sent prepaid.

*Once again, it is recommended that all boxed, packaged/securely wrapped and crated materials are delivered to the Metropolitan Exposition warehouse between July 14 and August 8, 2008.

3) Delivering product in your own vehicle
You may deliver your product in your own vehicle. You must check in with Metropolitan Exposition personnel. Your vehicle will be placed in line, and called to be unloaded as soon as space is available. The Metropolitan Exposition personnel will be available to receive exhibitor shipments as follows:
Saturday, August 16 8:00 AM-5:00 PM

Please bring your vehicle to the loading area at 124 West 19th Street, New York, NY.
Please note: If you arrive after 5:00 PM and need assistance from Metro-Expo, you will be turned away and asked to return the next morning.

4) Hand carrying product into Metropolitan Pavilion
Freight moving labor is handled by Teamsters and Exposition workers. However, certain items may be brought into the Metropolitan Pavilion by exhibitors. All items brought in through the loading area (124 West 19th Street) must fit into the following categories:
  • An exhibitor may move a “pop-up” display equal or less than 10' in length if it can be carried by hand.
  • An exhibitor may hand carry items or use nothing larger than a two-wheeled baggage cart (rubber or plastic wheels only) to move items.
  • Exhibitors must use the doors and routes designated by show management.
  • Individuals moving items must have identification showing that they are employees of the exhibiting company.
  • No product should be moved through the Main Entrance (125 West 18th Street) unless it can be carried without the assistance of any type of cart.

Note: Vehicles left unattended may be towed or ticketed.

5) Shipping via UPS or FedEx
United Parcel Service and FedEx shipments may be sent to the Metropolitan Exposition warehouse or directly to the Metropolitan Pavilion. Shipments direct to the Metropolitan Pavilion should arrive on August 16. UPS does not guarantee delivery of packages in time for show opening.

All small package services such as UPS and FedEx will be charged a handling fee (see Shipping Information forms for details)..

PLEASE NOTE: Shipments received without individual/carrier receipts or freight bills such as UPS, FedEx, Express Mail, etc., will be delivered to the exhibitor’s booth without guarantee of piece count or condition. NO LIABILITY WILL BE ASSUMED FOR SUCH SHIPMENTS BY GEORGE LITTLE MANAGEMENT OR METROPOLITAN EXPOSITION SERVICES, INC.

5.2 INBOUND CARAVANS

Caravan service from the California Gift Show to NYIGF is available through Freeman Transportation. You may reach them at (800) 995-3579. For the caravan service from the San Francisco International Gift Fair to NYIGF, please call Freeman Exhibit Transportation at (201) 998-6444 and ask for Brenda Levron.

Neither the New York International Gift Fair, George Little Management, LLC, or dmg world media, nor any of our contractors involved with the handling of the exhibit material can be held responsible for delivery delays due to circumstances beyond our control. You are welcome to make arrangements with another carrier to transport your Show material.

5.3 STORAGE

Empty crates, cartons, boxes or packing materials of any kind cannot be stored in or behind exhibit booths.
Storage labels marked “EMPTY” will be available at the Metro Expo service desk. Exhibitors should write the appropriate booth number(s) on the labels and affix them to all crates, trunks and bundled cartons. All items marked for empty storage will be removed from booths by the official service contractor, placed in storage and returned to the designated booth(s) at the end of the Show. Only empty containers should be labeled as such, any excess product should be stored in overnight storage.

5.4 OUTBOUND SHIPMENTS

Removal by Exhibitors
Exhibitors should arrange for pick-up of exhibitor merchandise at the conclusion of the Show. Metropolitan Exposition will assist in arranging such a pick-up, but in the event of failure to collect exhibitor’s merchandise, Metropolitan Exposition reserves the right to reroute shipments. Material Handling Agreements (MHA) covering all outgoing shipments should be handed in at the freight desk before exhibitors leave the Metropolitan Pavilion. Please note: Metropolitan Pavilion must be vacated by 10:00 AM on Thursday, August 21.

OUTBOUND SMALL PACKAGE SERVICE
Airgroup Express will offer small package shipping service to U.S. and Canadian destinations on the outbound of the Show. Material handling agreement paperwork must be obtained from the Metro-Expo Service Desk. For further information concerning this service, please stop by the Service Desk.

Removal by Third Parties
The sale of part or all of an exhibitor’s lines to department stores, jobbers, etc., has resulted in the movement of material from one booth to another as the merchandise of many exhibitors is consolidated for one large shipment. As a result, problems arise either because of error or because of purposely misdirected shipments. Exhibitors are responsible for the proper preparation of all shipping documents for merchandise in their booth (s), including detailed bills of lading and bills of sale. These bills of lading must list the name and address of the shipper, the consignee, the count, description and weight of covered items. Exhibitors should indicate whether shipments are prepaid or collect and state the name and address of the company or person responsible for charges. Under no circumstances can this responsibility be delegated. Exhibitors must submit properly completed bills of lading to the official freight contractor prior to leaving the Metropolitan Pavilion. EXHIBITORS ARE RESPONSIBLE FOR ALL PACKING BY, AND ACTIONS OF, PERSONNEL BROUGHT INTO THE SHOW BY PURCHASING FIRMS. Any party picking up one or more sample lines must sign in with the official freight contractor and present a list of exhibitors with booth numbers from which merchandise will be collected. The merchandise of each exhibitor must be packed separately with separate bills of lading. The official freight contractor will not accept bills of lading from any one other than the contracting exhibitor. The procedures outlined herein will be strictly monitored by the official freight contractor and Show Management.

5.5 INTERNATIONAL SHIPMENTS

Due to heightened security at U.S. ports of entry, some international shipments may be delayed for inspection. We strongly recommend consulting with your carrier and your customs broker to determine when to ship your product to ensure timely delivery. Phoenix International Business Logistics, Inc. is the recommended Customs House Broker and International Freight Forwarder for the Show. Foreign participants should be aware that exhibitors’ freight is entered into the U.S. under “Temporary Trade Fair Status” and is therefore considered by Customs to be “in bond”. In accordance with the US Customs regulations, freight entered under trade fair status cannot be removed from the bonded facility (Metropolitan Pavilion) unless for exportation, destruction, or for permanent U.S. entry. If arrangements have not been made for merchandise to either be exported, or sold and cleared through U.S. Customs by Show closing, merchandise will be transported in bond to Phoenix’s bonded warehouse and placed in storage until otherwise instructed. Phoenix is available to advise the best methods of transportation to New York, including recommendations of shipping lines and airlines, and to advise what documents and procedures are required, etc. Refer to International Shipping Instructions Form for more information.

Canadian exhibitors seeking to export exhibit materials to the U.S. should be advised that U.S. Customs will require an IRS identification number for the entry of these shipments to the U.S. If your organization does not have an IRS number, your U.S. Customs broker should have the capability to file and receive a temporary IRS number on your behalf. Failure to provide this number at the border crossing will result in delays.

George Little Management cannot provide our tax identification number to exhibitors as the importer of record must be the exhibitor or a distributor representing the exhibitor. Remember: no show materials = no show. Don’t delay in making these arrangements prior to shipping your exhibit. Please call Phoenix International at (908) 355-8900 for further assistance.

Important! The Bioterrorism Act passed by the U.S. Congress in 2002 regulates all shipments of food and beverages into the United States. All food and beverage shipments, no matter how small, must be inspected on their arrival in the United States. This may cause considerable delay to your shipment. Exhibitors are discouraged from shipping from overseas any food or beverages for their personal use or for distribution from their booth. If your product to be displayed for sale in your booth includes food or beverages, we recommend that you contact Phoenix International for more information.

NOTE! U.S. Customs and Border Protection has recently begun enforcing new regulations regarding wood packing material (crates, pallets, etc.) We encourage you to contact a customs broker prior to shipping any wood packing material from outside the U.S.

5.6 CLOSE OF SHOW

Buyers are NOT ALLOWED on the Exhibit Floor during breakdown. If you have to meet your customers after the Show, please arrange to meet them outside of the Exhibit Hall at a specific time. Show Management cannot be responsible for making these arrangements or attempting to get the parties together.

Dismantling will begin promptly at 5:00 PM on Wednesday, August 20. All stored crates, trunks and cartons will be delivered to booths as quickly as possible. Exhibitors should remember that crates and empty cartons are removed over a period of days during set-up and they will be returned over a period of hours after the close of the show. It is important that exhibitors not leave their booth(s) unattended during this period as it is almost impossible to protect against pilferage. Exhibitors removing merchandise must wear their exhibitor badge. Further instructions regarding dismantling will be distributed during the Show.

  Thursday, August 21 8:00 AM – 10:00 AM

 

6. ADDITIONAL SERVICES

6.1 ELECTRICAL SERVICES

If you require electrical service, please refer to the Metropolitan Pavilion 2008 Telephone & Electric Form. To insure good service, orders should be placed 10 business days before move-in.

Metropolitan Exposition can provide lighting tracks with halogen fixtures to all exhibitors on a rental basis (electrical power not included in the rental price). Please call (201) 964-1800 for details and a price quotation or see the Standard Furnishings & Accessories Order For..

Supplemental overhead theatrical lighting is available to NYIGF exhibitors.

6.2 TELECOMMUNICATIONS SERVICE

6.3 WIRELESS INTERNET ACCESS

If you require wireless internet access service, please refer to the Transbeam Internet Access Order Form.

6.4 CLEANING SERVICE

Show Management will provide for the sweeping of booths prior to Show opening and the policing of the aisles during the open hours of the Show. Wastebaskets left at the front edge of the booth will be emptied on the first three nights of the Show.

6.5 DISPLAY CASES

Display cases are available on a rental basis from Levin & Associates. Refer to Official Display Case Rental Order Form for more information.

6.6 FLORAL SERVICE

Big Apple Florist, Inc. will be the official supplier of floral decorations. Exhibitors wishing to order floral service should place their order directly with Big Apple Florist, Inc., by using the Big Apple Florist Form.

6.7 AUDIO VISUAL SERVICE

Audio visual services are available on a rental basis. Contact the GLM Operations Department by email at jcedrone@glmshows.com for further information.

6.8 PHOTOGRAPHER

6.9 LEAD RETRIEVAL

Expo Information Systems, Inc. is offering exhibitors a state of the art electronic Lead Retrieval System. ESP2 is a portable device based on Pocket PC mobile technology that allows you to move about your booth without the need for a base connection. This battery-powered unit scans data from a buyer’s badge, displays it and stores your lead information on a Secure Digital (SD) memory card. For additional information, please refer to the Electronic Lead Retrieval System Order Form.
